When it comes to project management tools, there are a lot of options to choose from.

Two of the most popular Project Management options in 2022 are Trello and Monday. But which one is right for your team?

Before we start comparing Trello vs Monday in depth, first it's important to understand what we actually mean when we say Project Management (P.M.) Tool. 

What features should a good Project Management Tool have?

Project management software should help you organize and keep track of your team's progress on a project, handle task management and contacts etc.  It should also allow you to communicate with your team members and clients easily and effectively.  Ease of use is super important if you want your team to use it well or even adopt it.

There are many different P.M. tools available, and it can be hard to decide which one is right for your team. In this blog post, we'll compare two of the most popular options on the market in 2022: Trello and Monday.

Trello is a flexible, Kanban Board style P.M. tool that is free to use for small teams. It's simple to set up and use, and it's easy to see your team's progress on a project at a glance.

Monday is a more comprehensive P.M. App that can be used to store, automate and connect practically any type of data your organisation deals with.

Trello and Monday.com both offer a huge range of features and many of these features overlap, while some are unique to each platform.

So, which P.M. tool is right for your team? First, let's look at a simple overview of each Tool's main features.  After that we will compare the features of the Monday Pro Plan and equivalent Trello Premier Plan to see where each tool has the upper hand over the other.

After that, we will compare costs.

Finally, we will sum up whether think Trello or Monday is the better Project Management Tool and why.

Let's Start With Trello - An Overview

Trello is primarily known for it's user-friendly and easy to navigate Kanban layout (known as "Boards" in Trello).  However, Trello offers other views/styles such as Table view and has a huge range of free and paid Power Ups that can be added to your Trello account to add more functionality.

Overall, Trello is less colourful and visual than Monday.  Both Apps can have a simple clean look but can also look cluttered in some views when a lot of data/custom fields are added.

Trello's paid plans are more affordable than Monday.com but it is generally less powerful and versatile in terms of features.


Monday Overview

Monday offers a more versatile and powerful set of features, some of which Trello doesn't have.  Like the Workload View for resource management.  But, it comes with a heftier per user price tag.  If you're looking at say 3 users then Monday is twice as expensive as Trello.  However, if you only need 1 user then Monday is 6 times more expensive than Trello.  Also, because the per person cost is much higher in Monday, the bigger your team the bigger the price difference between the two tools

Despite the higher price, Monday also offers 2 fundamental features (at the Pro Plan level) that make it exponentially more powerful than Trello and a better option for most organisations in my opinion...

If we are to get an accurate understanding of how these two Project Management Tools compare against each other, it's important that we make the comparison fair.

For this reason, I have based my review of the features and pricing of each App on the plan just below the Enterprise Tier. These plans are respectively the Pro Plan for Monday and the Premium Plan for Trello.

I have also based monthly pricing on a minimum of 3 paid users as this is the minimum number of users for Monday and I feel that most organisations will be looking at 3 paid users or more anyway.

Both tools offer a range of plans including an Enterprise Plan so do consider your options if you decide to commit to one of these Apps.

You can easily pull data automatically from a Board into a Quote or Invoice right within Monday and customise it.

Not only can you track when somebody opens your emails, you can even trigger automations based on their email activity.

Monday.com and Trello - which is the best project management tool?

To my mind the answer to the Trello vs Monday question is quite obvious. While they share a lot of similar features, they are in fact quite different tools with quite different use cases.

Trello is significantly cheaper, particularly if you either only need 1 - 2 paid users or if you have a lot of paid users.  However, it's features generally aren't as powerful and versatile as Monday.com.

Monday.com on the other hand, while it is more expensive not only offers more powerful features but also allows you to connect/create relationships between items in one Board and items in one or more other Boards.  Not only that, but you can automatically create or modify data in one Board based on changes in another Board/s.  Once you wrap your head around the true potential of this functionality, there really is no comparison between the two tools.  They appear similar on the surface but are in fact fundamentally different and the pricing reflects that.

Which tool is right for your team?

If you truly want to host all your organisations data in one platform and be able to automate almost any aspect of almost any workflow, there is no doubt that Monday is the solution for you and well worth the higher price.

If you are after a simpler, easy to use and more affordable tool that will allow you to manage and automate tasks and individual workflows without being able to integrate the different components of your organisation, then Trello is an awesome option for you.
