Hey there! Ready to master the new Group By feature in Monday.com and wow your team? Let’s dive into the new Group By feature. This feature allows you to dynamically re-organise your entire Board into completely new Groups with single click. Which is why this feature is such a game-changer for organizing your projects and getting more functionality out of your Boards. In this blog post, I'll walk you step by step through how to use the new Group By feature in Monday.com.

Before we get started, a quick heads up; There are 2 ways you can access the new "Group By" feature in Monday.com. Method #1 uses the "Group by" option in your Column Menu settings. (This is the method we are going to cover in this blog post as both methods work more or less in the same way but this first method is a little hard to find if you don't know where to look). Method #2 uses the "Group by" button at the top of your Board.

How to access the new Group By feature in Monday.com from the Column Menu

Step 1: Navigate to Your Board

First things first, pop into the board you want to test the Group By feature in. It’s your Workspace, so make sure you’re comfy!

Step 2: Choose a Column to Group By

Spot the column you want to group by. If you’ve got a lot going on, this'll clean things up nicely. Because the Group By feature only works for "single select" Columns, you'll need to choose a Column that can only have one value entered. (For this reason, Dropdown Columns are not an option and if you wish to Group by a Connect Boards Column, you will need to uncheck the "allow connection of multiple items" checkbox int eh Connect Boards settings).

Step 3: Click the three dots in the Column Header

Give that column header a click. A drop-down menu will appear—ooh, the possibilities!

Step 4: Choose "Group By"

In the drop-down menu, select “Group By Column.” Watch as Monday.com works its magic, re-organizing your data in a snap.

Step 5: Customize How You Like

Now, you’ve got grouped sections. Feel free to drag and drop the Groups to re-order as needed. However, because the dynamic Group Names are based on the values in the Column you chose to Group By, you can't directly edit the Group Names. Which means that, if you want to change the names of the Groups you will need to edit the values in the Column that you are grouping by.

Step 6: Bask in Your New Organization!

Take a moment to admire your organized board. Feel that Monday.com mastery flowing through your veins. You’re killin’ it!

And there you have it! You’re now equipped to use the Group By feature with ease.

Notes

The Only Groups you can use in Automations are those that you create in the Board. The other thing to keep in mind is that when you go to connect Items, the Items you can connect will always be grouped as per the Groups you created in that Board. Which is to say, while the Group By feature is super powerful and handy and all you to group items however you want, it's super important to put a lot of thought into the actual Groups you create in your Board.

If you create a new Item in a Group that was created using the Group By feature, the new Item will have the Group name applied as the value in the Column you are Grouping By
